Project organisation: “Optimum” for disseminating and book-keeping knowledge gained

The last four months have been very busy for the ARCHIMEDES Dissemination Team. The team has one clear goal: to keep track of all activities carried out while promoting and disseminating the knowledge gained during the project. This is the key to transferability at a wider scale, and will ensure that the project teams in each site have optimal exploitation of its results.

A detailed Dissemination and Exploitation Plan has been built up by the project dissemination team clarifying roles, means and target groups. Having regular deadlines that each part of the team commits to is essential for an effective delivery.However communication can come in different shapes and, very often in projects this size, lots of activities can be lost in history. In order to keep track of these, EPC, assisting Aalborg in its role of Project Dissemination Manager, has designed a reporting tool. This will help Local Dissemination Managers to track any dissemination product or media relation regarding ARCHIMEDES in a common database on a regular basis.In addition to offering a central storing room for all material and activities produced, this will give a good indication of which topics are being disseminated well, and which are not. It will therefore be very useful to plan dissemination, both at the project level and at the local level for the following months.Similarly, to ensure that the project is giving regular news to the CIVITAS community and beyond, a calendar has been set up to guarantee active news posting from all ARCHIMEDES sites and an on-line form is now available on the web for anybody who wants to be registered in our contact databases. They can then receive all the project and local information that we make available. We chose databases because we appreciate that each site will have specific target groups and each Local Dissemination Manager will be able to decide whether or not to send out local information.We hope that we will meet the many requests we receive and satisfy the requirements of a complete, efficient CIVITAS dissemination.
